General Description:

The Advisory Coordinator will support the FluidRock Advisory business activities by ensuring timeous and accurate service delivery for the Advisory Division. The Advisory Coordinator will support the FluidRock Advisory business activities by:

  • providing administrative support to the Team in projects undertaken in line with the agreed procedures
  • assisting with overseeing the successful completion of projects by project managing all ongoing projects and ensuring invoices are raised timeously
  • reviewing divisional SOP’s and processes in collaboration with the Head of the Division
  • fulfil the role of executive assistant as assigned
  • The Advisory Coordinator must have the ability to keep the Division and team members, organised and informed to enable them to deliver on the FluidRock promise.

Advisory Division (incl Compliance Risk and Ethics services)

Reports to:

Crisna Erasmus | Head of Advisory

Education Requirements:

  • Matric or equivalent NQF Level 4 qualification
  • A tertiary qualification in business, law or a relevant discipline would be advantageous
  • Project Management qualification would be advantageous

Other qualifications, certifications,  professional memberships, etc:

  • 3 – 5 years Experience in the Business Environment
  • Experience in project management would be advantageous
  • Experience in Corporate Governance environment would be advantageous

KEY ACCOUNTABILITIES AND DUTIES

Advisory Administration

General:

  • Support the Team with planning and delivering on the FluidRock client promise.
  • Support internal processes operated by the Team
  • Be part of projects aimed at further improving processes and efficiency of the Team
  • Acting as the point of contact between the Team and internal or external stakeholders
  • Support the Team with presentation materials for workshops, meetings and presentations
  • Coordinate and provide high-quality administrative / research support to the Team
  • Stay informed about professional knowledge and technical skills in the relevant areas to maximise your professional knowledge
    and apply it within the business in the best possible manner
  • Develop and manage efficiencies in the coordination role

Meetings:

  • Organising, attending and participating in team / project meetings
  • Facilitating small meetings and distributing notes to all team / project members
  • Follow up on actions, decisions, approvals and deliverables from team / project meetings

Client Relationship Management:

  • Draft Proposals in consultation with the Head of Advisory or assigned consultant
  • Follow up on Leads / Proposals and report thereon
  • Keep Salesforce records up to date and provide reports as and when required
  • Follow up on Leads / Proposals and report thereon
  • Assist with expanding of division’s marketing activity i.e. coordinating placement of Articles, website content etc.
  • Relationship management with prospective and current clients

Project Management:

  • Take responsibility for Projects in terms of planning, organising and directing the completion thereof while ensuring these projects
    are on time, within budget and within scope.
  • Maintain workflow and filing system electronically and manually (when required).
  • Update and maintain relevant Assignment Schedules
  • Monitor, maintain and update Project Status and Reporting thereon

Financial Administration Support:

  • Understanding the set budgets and how to best achieve monthly targets
  • Have a firm grasp of pricing and how to correctly quote clients for requested services
  • Have a good understanding of engagement / project payment terms
  • Regular updating of relevant platforms to ensure that engagement / project status is recorded and communicated effectively
  • Monitor tracking of work performed against projects / set client retainer engagements and be able to identify when retainer
    services move out of scope
  • Monitor, maintain and update Project Status and Reporting thereon
  • Timeous and accurate billing to ensure monthly targets are met
  • Effective communication with Shared Services and other divisions to ensure intercompany billings are taken into account where
    necessary
  • Liaise with Shared services in terms of project invoices to be raised and update the billing sheet in line with agreed payment
    terms with the client.
  • Assist with following up with debtors as and when required

Logistical Support:

  • Arrange travelling and accommodation for Team members as and when required
  • Process travelling and subsistence claims of Team members as and when required

Executive Assistant:

  • Manage professional scheduling for the relevant executive, including email, calls, travel arrangements, client management, and
    other relevant logistics
  • Prioritising emails
  • Coordinate complex scheduling and extensive calendar management
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Administrative Support
